Set up locations

Create and organize warehouses, trucks, booths and bins, then move bins without losing their contents.

Locations form a tree that shows where material is physically stored. A bin can sit inside another location. Its contents move with it when you move the bin.

Browse the location hierarchy

  1. Open Locations.
  2. Type a name into Search locations... to narrow the tree.
  3. Expand a location to see the bins inside it.
  4. Select a location to see the articles stored directly there.

Click Filters to show or hide the available filters. Type limits the list to warehouses, trucks, booths or bins. Project limits it by project. Inside finds locations under a selected parent. Contents offers Has articles and Empty.

A filter keeps matching locations, the locations above them and everything inside them. Stock in a bin appears under that bin, not under its parent.

Create a location

  1. Open Locations and click Add Location.
  2. Enter the Location Name.
  3. Choose the Location Type: Warehouse, Truck, Booth or Bin.
  4. For a bin, choose its required Parent Location.
  5. Optionally choose a Project and enter a Description.
  6. Click Create Location. For a truck, the button says Create Truck.

Warehouses, trucks and booths stay at Root Level. They cannot have a parent. A bin must have a parent and can be nested inside a warehouse, truck, booth or another bin.

A truck also has optional Truck Details for the transport company, contact, driver, license plate, loading date and return date. You can complete them now or later.

From a project page, Create Bin and Create Truck open the same form with that project already selected.

Edit a location

  1. Open Locations.
  2. Use View/edit location on the location row.
  3. Click Edit mode.
  4. Change the name, description, type, parent or project. A truck also shows Truck Details.
  5. Click Save changes.

Changing a bin into a warehouse, truck or booth removes its parent. A bin must remain inside another location.

Keep project locations together

A location without its own project inherits the project of the nearest location above it. A location cannot sit inside a location that belongs to another project.

The parent picker therefore shows only valid parents. If you choose a project, it shows locations for that project and locations without a project. A change is also refused when locations inside the one you are editing belong to another project. Move those locations out or change their project first.

Why can I not choose a parent location?

Check the location types and projects. Warehouses, trucks and booths must stay at Root Level. A bin needs a parent. The parent must belong to the same project or have no conflicting project above it.

Move a bin from the move page

  1. Open Move Bin from the dashboard quick actions.
  2. Under Bin to move, choose the bin.
  3. Under Destination, choose the warehouse, truck, booth or bin that should contain it. You can also scan the destination label.
  4. Click Move Bin.

The bin keeps all nested locations and contents. The app excludes the bin itself and everything inside it from the destination list, so a circular hierarchy cannot be created.

Move a bin in the location tree

  1. Open Locations.
  2. Drag the bin onto its new parent.
  3. Review the source and destination in Move Location.
  4. Confirm with Move Location.

You can also use Move location on a row. Warehouses, trucks and booths cannot be moved under another location.

Why was the move refused?

The destination may be inside the bin, or it may belong to another project. Choose a location outside the bin that has the same effective project or no conflicting project.

Move article stock in the location tree

  1. On a computer, open Locations and expand the source location until its article rows are visible.
  2. Drag the article row onto the destination location.
  3. Check the source and destination, then enter Quantity to move.
  4. Select Move Items.

If project reservations protect the quantity, review the named project and dates before choosing Move reservation too. Cancel closes the dialog without moving stock. The Move articles guide explains reservation handling and the other movement screens.

Archive or restore a location

A location with children cannot be removed. A location with inventory history is archived instead of deleted, but only after its direct stock is zero and no active reservation remains. See Archive and restore records for the complete checks and restore order.
