Create and edit articles
Create one article with photos and initial stock, then update its details and taxonomy.
Create an article
- Open Inventory and select New Article.
- Under Photos, add up to 20 photos from your device or take a photo. Select a thumbnail to make it the Primary image. Remove an unwanted photo with Remove image.
- Keep the proposed Article No. or enter your own. Automatic numbers are reserved only when the article is created.
- Enter the required Name. Add the optional description, category, subcategory, color, dimensions, price, minimum stock level, unit and project when they apply.
- Under Initial Receipt (Optional), select a Location and enter the Qty received there. Use a whole number of 0 or more. With quantity 0, the article is created without an initial receipt.
- Select Create Article. Then select Create next article or View article.
Fill the draft from photos
- Add one or more photos under Photos.
- Select Suggest details. The app uses the first four selected photos.
- Review the suggested name, description, color, category, subcategory and unit. Suggestions replace values already entered in those fields.
- Enter the dimensions, quantity and article number yourself. The app never guesses them.
- Select Create Article when the draft is correct.
What if the photos change during analysis?
The app shows Photos changed while analyzing. Select Suggest details again. Select Suggest details again to analyze the current photos.
Can I use photo suggestions without a connection?
No. The app shows AI suggestions need a connection. You can still complete the article fields yourself.
Edit an article
- Open the article from Inventory.
- Select Edit mode under Article Details.
- Change the fields or photos. Select a photo to make it the Primary image, or use Remove image.
- Select Save changes. The app confirms Article updated successfully.
Stock is changed separately with +/- Quantity. Editing the article details does not change its stock.
Create or delete categories, subcategories, colors and units
- In the article form, open Category. Search for the new name and select Add "name".
- Select the category, then open Subcategory. Search for the new name and select Add "name".
- You can add a new value the same way from Color or Unit.
- To delete one of these values, open an existing article and select Edit mode. Open the relevant field and select the X beside the value.
- Review the warning and select Delete.
Deleting a value clears that field on every article that uses it. Deleting a category also deletes all of its subcategories and clears both fields on affected articles. It does not delete the articles. These values cannot be renamed. Create the new value, assign it to the articles, then delete the old value.
What if the article number already exists?
Every active and archived article needs its own article number. If an archived article uses the number, restore that article or choose another number.
