Archive and restore records

Remove articles, locations and projects while preserving history, then restore eligible archived records.

The app uses Delete for both outcomes. Depending on the record type and its history, it is either archived or permanently deleted. A permanently deleted record cannot be restored.

Archive or delete an article

  1. Open the article from Inventory.
  2. Under Article Details, select Delete.
  3. Review the warning and select Delete again.

Deleting an article disposes all of its stock at every location and cancels its active reservations. An article with transactions or reservations is archived and keeps its inventory history. An unreferenced article is permanently deleted.

Does restoring the article restore its stock and reservations?

No. Restoring returns only the article record to active inventory. Quantities disposed by deletion and reservations canceled by deletion stay removed. Stock previously marked as lost also stays removed.

Delete several articles together

  1. Open Inventory and select the articles using their checkboxes.
  2. Select Delete in the action bar.
  3. Review the selected count and warning, then confirm Delete.

The same stock disposal and reservation cancellation rules apply to every selected article.

Archive or delete a location

  1. Open Locations and open the location.
  2. Select Delete Location.
  3. Review the warning and select Delete Location again.

A location cannot be deleted while it contains child locations. Move or delete the child locations first. A location with inventory history can be archived only when every article balance is zero and it has no active reservations. Move the stock, adjust it to zero, or use Dispose direct contents where appropriate. Release or move its active reservations.

A location with history is archived. A location without history is permanently deleted.

Archive or delete a project

  1. Open Projects and open the project.
  2. Select Edit Project.
  3. Select Delete Project.
  4. Review Are you sure? and select Delete.

A project is archived only when it has transaction history. Its reservations are archived and articles are unassigned from the project. Each linked location is archived with it only when every article balance directly at that location is zero and no active reservation from any project uses that location. A project without transactions is permanently deleted together with its reservations; reservations alone do not preserve it.

Restore an archived record

  1. Open Inventory, Locations or Projects.
  2. Select Archived above the list.
  3. Find the record on Archived Inventory, Archived Locations or Archived Projects.
  4. Select Restore.

Restoring a project also restores its un-cancelled reservations and only the project locations archived in the same archive operation. It does not reassign articles that were cleared from the project, recreate disposed or lost stock, or restore canceled reservations.

Why can I not restore an article?

An active article already uses the same article number. Change that active article's Article No., or delete it if that is the correct action, then restore the archived article.

Why can I not restore a location?

Restore its parent location and linked project first. A restore can also be refused if its parent or child hierarchy now belongs to a different project. Change the project on the active location named in the message, then try Restore again.

Why can I not restore a project?

A location archived with the project may now sit inside a location belonging to another project, or contain a location belonging to another project. Move that active location or change its project as the message says, then restore the project again. An archived location cannot be edited until it is restored.
